AARO Hospitality Management is a Houston-based third-party hotel management company operating a growing portfolio of select-service and full-service hotels across Texas, Tennessee, Arkansas, and Kansas under IHG, Hilton, Marriott, and BWH Hotels brand flags.
The Role
We are hiring a Hospitality Coordinator to serve as AARO’s centralized coordination hub across our multi-property hotel portfolio. You will work from our Houston office and service all properties virtually. Your job is to make sure every employee across every hotel is properly onboarded, trained, certified, and tracked. You also make sure that HR and operational items across the portfolio get organized and routed to the right people. Nothing falls through the cracks on your watch. This is a coordination role. You track, organize, follow up, and route. You do not make hiring decisions, conduct investigations, handle discipline, or determine claim outcomes.
What You Will Do
Compliance Training and Onboarding
Process new hire onboarding across multiple ADP RUN accounts. Trigger paperwork, monitor completion, and follow up on outstanding items. Assign and track mandatory training across multiple platforms including Traliant, National Course Portal, 360training, and brand-specific portals including IHG Merlin, Hilton University, Marriott MGS, and Best Western University. Run weekly compliance audits. Reconcile employee rosters across all platforms, identify overdue and expiring certifications, and keep the Monday.com compliance tracker current. Send weekly compliance summaries to each property General Manager and follow up on every overdue item. Execute the escalation protocol for employees who have not completed required training. Manage the rolling certification renewal cycle: flag upcoming expirations, assign renewal courses, follow up on completions, and archive updated certificates. Produce monthly compliance reports for each property and portfolio-wide for AARO leadership. Audit personnel files in ADP for documentation gaps. Deactivate separated employees across all platforms within 48 hours. Monitor state regulatory changes and update the certification matrix. Maintain written SOPs for every process. Conduct mock brand QA audits to keep every property audit-ready.
Recruiting Coordination
Manage job listings on the AARO website. Route incoming applications to the correct property GM. Conduct initial phone or video screening interviews to filter candidates before the GM spends their time. Forward screened candidates with a brief written summary.
Performance Review Coordination
Maintain a performance review calendar in Monday.com. Send reminders to GMs and supervisors when reviews are coming due. Track completion and follow up when reviews are late.
Employee Relations and Workers’ Comp Routing
Receive employee complaints, incident reports, and workers’ comp claims from property GMs. Organize all documentation into a complete package and route it to the appropriate party—the insurance carrier, an employment attorney, or AARO leadership. Track every open item in Monday.com and follow up until it is resolved.
GM and Property Reminders
Track and send reminders for recurring property deadlines assigned by AARO leadership, such as license renewals, inspection dates, and insurance certificate expirations.
Employee Communication
Send a weekly Monday email to all portfolio employees covering training reminders, employee recognition, safety tips, and birthdays and work anniversaries.
Qualifications
Required
At least 2 years of HR administrative, training coordination, or hospitality operations experience.
ADP experience, either RUN or Workforce Now.
Experience administering a learning management system.
Strong organizational skills with the ability to track deadlines across multiple properties and follow up persistently.
Professional communication skills, including the ability to enforce deadlines with GMs who do not report to you.
Comfortable working independently with minimal daily supervision.
Preferred
Hospitality industry experience.
Multi-property or multi-state coordination experience.
Familiarity with Traliant, 360training, or any major hotel brand learning portal.
Knowledge of food safety, alcohol server, OSHA, or human trafficking training requirements.
Monday.com or similar project management tool experience.
Phone screening or initial interview experience.
First 90 Days
Complete a baseline audit of every employee’s certification status across all properties.
Build and validate the Monday.com compliance tracker.
Establish the weekly GM compliance cadence.
Complete one mock QA audit per brand.
Set up the performance review calendar and the workers’ comp and employee relations routing workflow.
Document SOPs for every recurring process.
One missed certification, one lapsed food handler card, one unrouted workers’ comp claim, one harassment complaint without documented training. Any single one of those costs more than this position’s annual salary. You are the person who makes sure none of it happens.
